Happy Holidays 🎄

Inspired by these "festive" times upon us Donna can now check that important dates don't happen to fall on a banking or national holiday.

And Donna does it in a smart way too 🧠 First she looks at which countries and regions are relevant to the contract. She then loads the calendars for those regions. This way she can even notify you of more obscure holidays.

This feature should help those of you who frequently write agreements with international parties. 

You can view these holidays by hovering the golden star in the Dates overview.

Or you can also find a suggestion when going through the Clarity category.

Easy as ABC 🔠

For those of you who sort your definitions in alphabetical order, we've got something cool for you. Donna can now find places where someone has placed a definition out of order!

Over the coming weeks we'll be making several improvements. Ensuring that Donna can also find smaller blocks of alphabetically sorted definitions than she currently can. We also hope to be able to point you exactly to where the definition should be moved, and we might even be able to make it a quick fix! 🤞

Ignore > Remove

We received some feedback that our phrasing of "skipping over a suggestion" as removing it was a bit confusing.

"Will it remove the text from my document?"

That's why we've made a few tweaks to how suggestion cards look. Instead of a trashcan you now get one button to Ignore a suggestion. We've also moved the other actions under a dropdown menu so that they don't clutter your view too much until you need them.

This will give us some more room to introduce a few more specialized actions. For instance you can now also ignore all suggestions of a particular type.


Consistency is Key

Now that Donna's brain has been upgraded we've finally been able to introduce a new category of issues that you have been asking for a long time. Donna will start ensuring the document is consistently formatted and phrased.

The first issue that we're introducing is Donna's ability to ensure that Definitions are consistently formatted. For instance if you like making your definitions bold (good on you!) Donna will now pick up on when someone else has come in and not played by your rules.

 

Modernising Donna's AI brain - Part 1 🧠

Donna is currently undergoing a big upgrade. Since September, the team have been busy modernising parts of Donna's brain, starting with 'Defined Terms' and 'Definitions', launched on November 12th.  

What's going on under the hood? 

Previously the Defined Terms & Definitions machine learning module was one monolith box. Each time we upgraded the system to make improvements it would take a long time for us to test and validate its new predictions. Overall, this meant even small changes took a long time to implement.

Today Defined Terms & Definitions are a collection of much smaller independent boxes, that interact closely, like a well-tuned orchestra. Which means it's much easier to tweak small changes or add edge cases to suggestions.

What does this mean for you?

The plus side is that you'll now see fewer irrelevant suggestions across the board. Previously you might have seen Donna get confused by quotation marks or apostrophes within a quoted definition. 

For example: Any shareholder that wishes to transfer shares ('Owner's Shares'

Sometimes Donna would also get confused by plurals in definitions, unusual definition styles, freetext definitions, etc.

The updated Donna is much smarter at recognising all sorts of outliers. Making Defined Terms & Definitions much slicker. And if you do notice something doesn't work, make sure to ping us on our chat. We'll now have a much quicker turnaround time for fixes.

This is also great news for law firms with unique document styles, as Donna will be able to adapt to your house style much faster. 

As an added benefit, the new system also brings big speed improvements, especially for larger contracts.

🌈 Colored Placeholders...Sort Of

Donna could already "Export" placeholders by highlighting them in the document. This ensured that if you sent the document to a colleague the highlights would still be visible even with Donna closed.

Now you can select what kinds of placeholders you would like to include. You can even select what color each kind of Placeholder type should have. Sadly the colors are still limited to the palette provided by Microsoft Word. But I guess retro colors never go out of style? 🤷‍♀️


Wingdings No More

Based on a recent tweet by one of our favourite Legal Tech gurus we were made aware of the following problem:

And with such a clear cry for help, we had to do something. So we assembled an elite task-force and now half a day later...problem solved!

Donna can now find places where the Wingdings dot is used and will suggest a more colleague friendly alternative. Not only that, Donna can actually fix it for you with the click of a button!

Donna is still learning and so she might not pick up on all cases just yet, but we hope to polish those final details in the days to come. For now we think it's mission accomplished.

Referring to...

You can now easily create an overview of all the references in a document. Even if they don't use cross-references (yet).


Using the preview snippets (remember, Alt + click) allows you to quickly check if references are referring to the right paragraph. And naturally Donna will also show any suggestions of her own.

But the fun doesn't stop there. If you select a reference in a document Donna will (if available) also show a snippet of what the reference is referring to. This allows you to quickly check a reference while reading the text. Without the need to jump around in the document.


See It, Fix It, Sorted

We've added the ability show and fix a suggestion right from an overview.

For example while going through your defined terms you can immediately fix an issue as you come across them. Without having to switch back and forth between the suggestions section and the defined term section. Neat!


Scrolling Down the River

Some of you have reported that Donna seems to significantly slow down on larger contracts. While last month, we put a lot of effort into improving the performance of analyzing your contracts, we have spent July in the name of making the user experience faster, better, stronger 💪 

One of the biggest culprits of the reported slowdowns was the fact that, for example in the Definitions & Defined Terms view, we would show all the cards at the same time. In a large contract, there are easily hundreds of definitions and potentially thousands of terms, and this is a difficult task for any computer to tackle with grace.

These days, we show a handful of cards with pagination and, for definitions, a search bar. We hope you'll be as happy about the improvements as we are.
